Privacy Policy
This policy explains what Your Guest Hub collects when you use an event app, why, who can see it, and the choices you have.
1. Who we are
Your Guest Hub is an event companion app operated by Theolume Technologies LLC (“we”, “us”). Each event on Your Guest Hub is run by an organizer (for example, a company or community hosting a summit). The organizer decides who is invited and what appears in their event, and is responsible for how they use attendee information. We provide the platform and process information on the organizer’s behalf.
2. Information we collect
- Account details: your name, email address and password. Passwords are stored in hashed form by our authentication provider; we cannot read them.
- Profile details you choose to add: photo, role or title, company, short bio, what you can help with, what you are looking for, LinkedIn and website links.
- Your private content: session notes, your notebook, next actions, saved connections and the notes you attach to them.
- Information organizers add: organizers may add speakers, partners or invited guests (name, email, title, company, photo, bio) before those people create an account.
- Basic usage counts: how many times a sponsor message is shown or clicked. These are totals and are not linked to your account.
- Technical data: standard information our hosting providers receive to deliver the app, such as IP address and browser type.
3. How we use it
- To create your account, sign you in and keep your session secure.
- To show the agenda, the people directory and your saved content.
- To send essential emails such as account confirmation and password resets.
- To give organizers summary figures (for example, number of attendees, completed profiles and notes written).
- To keep the service secure, fix problems and improve it.
We do not sell your personal information, and we do not use it to target advertising.
4. Who can see your information
- Other attendees of the same event can see your directory profile (name, photo, title, company, bio, links and the “help with / looking for” fields). You can hide yourself from the directory at any time in My profile.
- Event organizers and their administrators can see and edit the people list for their event, including your email address, and can see summary statistics.
- Your notes, notebook, next actions and saved connections are private to you. Organizers see only counts (for example, how many notes were written), never their content.
- Uploaded images (profile photos, logos) are stored at web addresses that are not listed publicly but can be opened by anyone who has the exact link.
5. Sponsors and outside links
Organizers may display sponsor logos and sponsored messages. These are chosen by the organizer and shown to everyone in the event; they are not personalized using your data. If you click one, you leave Your Guest Hub and the other site’s own privacy policy applies.
6. Cookies
We use only the cookies needed to keep you signed in. We do not use advertising or cross-site tracking cookies.
To understand how our website is used, we use Cloudflare Web Analytics, which counts page visits without cookies and without identifying individual visitors.
7. Service providers
We rely on a small number of providers to run Your Guest Hub, who process data on our behalf:
- Supabase: database, sign-in and file storage (hosted in the United States).
- Netlify: website hosting and delivery.
- Google Fonts: delivers the typefaces used in the app; your browser requests them from Google.
If you use Your Guest Hub from outside the United States, your information is transferred to and stored in the United States.
8. How long we keep it
We keep your account and content while your account is active or while the organizer keeps the event available. When an organizer deletes an event, the profiles, notes and saved connections for that event are deleted with it. You can ask us to delete your account at any time.
9. Your choices and rights
- Edit or remove your profile details, and hide yourself from the directory, in My profile.
- Export your notes from My Notes.
- Ask for a copy of your information, or for its correction or deletion, by contacting us or your event organizer.
Depending on where you live, you may have additional rights under laws such as the GDPR or the CCPA, including the right to object to certain processing or to complain to a data protection authority. We will respond to requests within the time those laws require.
10. Security
Access to data is restricted so that attendees can only read and change what they are permitted to, connections are encrypted in transit, and passwords are hashed. No online service can guarantee absolute security, so please use a strong, unique password.
11. Children
Your Guest Hub is intended for professional events and is not directed to children under 16. We do not knowingly collect their information.
12. Changes to this policy
We may update this policy as the product changes. We will post the new version here and update the effective date; for significant changes we will give notice in the app.
